An application made for our employees

Putting human beings at the very center of attention, we have created a mobile application for our employees sharing the company life aspects, even with collaborators working at the client’s offices.

Put the employee at the very center of the experience

The current context of labour shortage strengthens the need for a positive employee experience as a key element of any strategy. This highlights the need for developing a culture and a brand that stands out to retain and attract talents.

A local approach

Thanks to numerous Digital Transformation projects, we have developed and improved our own methodology to provide the best results to our clients.

First, we have tried to understand in a holistic way our internal needs in several steps:

  • Co-creation sessions
  • Internal surveys
  • Individual interviews
  • Human resources exchanges
  • Meetings with the Talent Manager

At the end of this process, we have perceived the need to strengthen internal communication thanks to a unique channel, fed with local, pragmatic, simple content, close to the teams. After careful consideration, creating an application for our employees was the most relevant support, in line with their needs.

Key functionalities

We thought collaboratively of the key functionalities for our local entity. We listed and classified the several needs according to the workload. The objective was to release a first product, a Minimum Viable Product – MVP-, enabling to collect feedback from a group of employees in a test phase.

The application is then divided into four major parts:

  • The first one is to consult the news on the company life. These are the projects in progress, the highlight of a team or a particular person or again diverse celebrations (career anniversaries, gained projects, mention in the press, etc.).
  • The second functionality shares the future events, to facilitate meetings between colleagues and promote exchanges.
  • A third part enables open positions checking and the ability to refer contacts from each collaborator network to facilitate new talents recruitment.
  • The last section covers key administrative information often essential to any employee such as the insurance number, the emergency contact, the career responsible and a FAQ as well, which gives both access to most frequently requested information and free up time to human resources, who dedicate themselves to more specific questions.

Prototype creation

Before developing the mobile app, we conceived a prototype as we do for each client project. In this way, the screens were shaped in a wireframe, a mock-up to pre-envision the final product and anticipate its outcome with a clickable prototype and collect impressions without impacting the project budget or planning.

Graphic creation

Once the prototype validated, we based the graphic creation on our new graphic chart « Fujitsu Uvance ».

« While elaborating the application, the user experience consideration was crucial because it’s one of the major criteria to ensure the solution adoption. We took its technological feasibility and financial viability as we do for any client project. » explains Laura Mathieu, Head of Experience Studio.

Technological choice and development

Only once the visuals were validated, technological choices were imposed. The need for content insertion oriented the ‘back-end’ choice’ on ‘Drupal’, a simple and easy solution to use for our Marketing department. For the ‘Front-end’, ‘React Native’ was selected to ensure a reactive and durable application.

We worked with a ‘Agile’ methodology basis, which, thanks to regular deliveries and tests throughout the creation, enabled more flexibility in the project conception. We set up the infrastructure as well.

The test phase, including the contributors training to the CMS, was significant before the launch. It enabled debugging and guaranteeing content supply.

Tool adoption

After the tool conception, it was essential to make diverse news live for retention. The employees were informed as well of the possibility to contribute to content writing. In this way, each one can take more actively part to company life.

The first day represents an important day for each employee. The mobile app makes the adhesion to the work environment smoother. The new collaborator accesses to a set of information on the company life and feels more welcomed.

In the future

Similarly to many digital projects, after the initial implementation, new ideas emerge for next versions. As a consequence, the methodology will be reiterated to bring further value to the new release of the app in 2023.
